Danish software extracts records digitally

Denmark’s largest hospital, Odense University Hospital, has implemented OnBase, Hyland Software’s suite of enterprise content management (ECM) software applications.

The solution, which integrates with the hospital’s Cosmic Electronic Health Record (EHR) System, has helped users to retrieve documents associated with a patient’s EHR 64 times faster than previous manual paper processes, the hospital says.

Odense University Hospital is using OnBase to ensure compliance with national regulations regarding the retention of documents and to improve patient care via the ability to quickly access records for research purposes.

According to Danish law medical records need to be kept for 15 years and some must be kept permanently.

Jette Kotsis, section manager at Odense University Hospital explains: “With OnBase, as patients are transferred between specialist hospitals and healthcare professionals, their records can be shared without any delays. The solution has also hugely benefited our research personnel who are now able to securely access and share documents via a Web interface any time.”

She adds: “With a number of medical staff requiring access to a variety of patients’ records, having a solution that was quickly adopted was essential for us. OnBase is easy to use, and therefore, only a minimum amount of training is necessary. Our medical personnel now also have access to all medical records in the operation room during surgery.”

Prior to implementing OnBase, Odense University Hospital had to provide storage space for paper-based documents and patients’ records spanning over nine kilometres.

Using OnBase, Odense University Hospital is now able to reduce costly storage space for paper documents, freeing up areas which can be used as additional consultation rooms for patients and other key hospital tasks.

Medical staff are able to quickly retrieve and review all the documents in a patient’s EHR during the patient’s visit, decreasing the waiting time before receiving care. The documents stored in OnBase include all medical records such as consultation, radiology, lab results as well as video files.

Odense University Hospital is planning to use OnBase in other departments across the hospital including the human resources and accounting departments.

Susan de Cathelineau, healthcare business solutions manager, at Hyland Software, says: “Odense University Hospital was the first of an increasing number of Danish hospitals using OnBase to meet their document management needs. In fact, many organisations in the healthcare sector are now adopting a more strategic view to effectively manage their documents to reduce time, cost and space.”

Odense University Hospital implemented OnBase through KIBI Software Solutions, an authorised OnBase provider in Denmark.
