PCTI launches back-office mini-apps

31 January 2012   Rebecca Todd

PCTI is today launching a range of Docman applications to digitise back-office information that has to be maintained by practices.

The Docman BackOffice foundation module, Library, was launched in September last year.

It allows practices to store, categorise, tag, search and retrieve non-patient documents and apply security levels to documents.

The new set of applications includes Accident Log, Asset Register, Birth Register, Death Register, Fridge Temperature Log, Practice Feedback, Room Temperature Log, and Significant Events.

Falmouth Health Centre practice manager Geoff Dennis said the practice had been piloting the mini-applications since late last year and “love them”.

“They are saving us a huge amount of time and putting a lot of stuff in one place - so when you need to analyse your data for the Care Quality Commission you know where to go and find it in electronic form,” he said.

The various applications replaced a series of ring binders and paper notes that had been scattered around the surgery, he added.

Dennis said simple things like being able to do away with the “scabby notebook” that was previously used to record the fridge temperature was “great”.

All new readings were inputted into the Docman application and all the old log books had been scanned and attached.

The ability to attach scanned documents also meant that the practice asset register was directly linked to original suppliers’ invoices.

“Using the familiar Docman interface means that everyone is able to use the apps with minimal training,” explained Dennis.

Security levels can be added so that only those people who should have access can see things such as patient feedback information.

The Library module also means doctors can easily search for forms on the system by using key words, when previously they needed to know the name of what they were looking for, Dennis added.
